Privacy Policy
Effective October 2, 2026
Azimuth Sign™ is an electronic signature service for public adjusters, contractors and others in the property insurance claims industry. It is operated by Azimuth Risk Group, LLC ("we", "us"). This policy explains what information Azimuth Sign collects, how it is used, who it is shared with, and the choices you have.
There are two kinds of people who use Azimuth Sign. A firm (and its team members) holds an account and sends documents. A signer is someone a firm sends a document to. Each is covered below.
Information we collect
From firms and their team members:
- Account details: name, email address, password (stored only as a one-way hash), firm name, address, phone, licence numbers and expiry dates, and any signature image a firm saves.
- Documents a firm uploads, the fields placed on them, the people they are sent to, and the settings the firm chooses.
- Connections the firm sets up, such as Google Drive, a claim-management system or a webhook address, and the credentials needed to use them.
From signers:
- The name, email address and, where the firm provides it, phone number the firm entered when sending the document.
- What the signer enters while signing: field values, a drawn or typed signature, and any note or attachment the signer adds.
- The signing record: the consent to sign electronically, the time of each step, the IP address and the browser's user-agent string. This record is part of the signed document's certificate and is what makes the signature verifiable.
Azimuth Sign uses one cookie, to keep a signed-in user signed in. It does not use advertising or analytics cookies and does not track people across other websites.
How we use it
- To deliver documents for signature, collect signatures, seal the executed document and send copies to the people involved.
- To screen documents against state requirements, prepare letters and files the firm has asked for, and file executed documents where the firm has told us to.
- To keep the audit trail that proves who signed what and when.
- To run, secure and support the service, and to contact account holders about it.
We do not sell personal information, and we do not use it for advertising.
Google user data
When a firm connects Google Drive, Azimuth Sign asks Google for access to that account's Drive and its email address. It uses that access only to do what the firm has set up: find the firm's claim folders, create a claim folder from the firm's template, file executed documents into it, and read documents from a claim folder when the firm asks. It does not read, use or keep anything else in the Drive, and Google data is never used for advertising, sold, or used to train AI models. A firm can disconnect Google Drive at any time in Settings, or remove Azimuth Sign's access from its Google Account permissions.
The use and transfer by Azimuth Sign of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Who we share it with
- The firm that sent a document and the other people it was sent to, including read-only viewers the firm adds.
- Service providers that run parts of the service for us: our hosting provider, our email delivery provider, and Twilio for text and WhatsApp messages when a firm uses them. They may use the information only to provide that service.
- Systems the firm itself connects, such as its Google Drive, its claim-management system, its CRM or its webhook. What goes there is the firm's choice.
- When the law requires it, or to protect the rights, safety or security of users, the public or the service.
How long we keep it
Executed documents and their audit trails are kept for as long as the firm's account is active, because firms in this industry have record-keeping duties under state law. A firm can delete drafts, and can ask us to delete its account and its data. Signed records may be kept longer where the law requires it. Backups are overwritten on a rolling basis.
Security
Data is sent over encrypted connections. Passwords are stored as one-way hashes. Each executed document is sealed with a fingerprint, and its audit trail is chained so that any change can be detected. No system is perfectly secure, but we work to protect the information we hold.
Your choices
- Signers can ask the firm that sent them a document for a copy, a correction or deletion; the firm controls that document. Signers can also contact us.
- Account holders can update their details in Settings, disconnect connected services, or ask us to delete their account.
- Depending on where you live, you may have rights to access, correct or delete your personal information. Contact us and we will respond.
Children
Azimuth Sign is a business service and is not directed to children under 13.
Changes
If we change this policy, we will post the new version here with a new effective date.
